Attendees
You will need ticketing software to sell tickets and collect data about attendees. For the last few years we have done this with Pretix.
Some attendees may need a visa to enter Australia to attend PyCon AU. You can help them by:
- Registering PyCon AU with the Department of Home Affairs International Event Coordinator Network (IECN) at https://www.homeaffairs.gov.au/help-and-support/departmental-forms/online-forms/iecn-enquiry-form, and
- Sending the attendee's details to IECN
Once registered with IECN you will be provided with a biodata collection form (Excel sheet). You will need to ask attendees for answers to most of the fields (e.g. passport number, current country of residence). Speakers are considered "invited by event organiser" and may also want a letter of invitation to support their visa application.
To collect this data you can configure Pretix with:
- an "Are you applying for a visa to enter Australia to attend PyCon AU" question
- for attendees that answer yes: additional questions for the fields on the IECN form. Include a note about sharing data with the Department of Home Affairs and a link to the department's privacy policy
- for speakers that answer yes: a "Would you like a letter of invitation" question
Update the biodata collection form with any new attendees and send it to the IECN once a week or so. You don't need to include all attendees, only those that have answered the visa related questions.
