Create a new project template for a kickoff meeting #34

We don't have a streamlined way to run a first project meeting. I would like to have some basic template we could use for kickoff meetings during which we define the scope and goals for a project. Perhaps @alexsb may have some insights on this?

Do we want the template to live on Box or on GitHub?

We might also want to ask the project management team (Delaney, Hazel, etc.) if they have a template or insights on this. Looking at Box, I found this agenda from the ForeSITE program kickoff meeting. The agenda was for a 3-hr meeting, so it isn't a template for us, but many of the points covered in the meeting would go well in our own first project meetings:

  • Defining project vision (value for us and our partners) and high-level goals (tangible outcomes/end products)
  • Discussing project management (how much will each stakeholder be involved in the project, who will lead the project, what is the timeline, communication methods, meeting frequency, etc.)
  • Identify deliverables

I'd add to this:

  • Defining and assigning initial tasks
  • Scheduling the next meeting

I think we could follow that structure in an hour or less and have a pretty solid first project meeting.

Hi @gvegayon, I'm open to that, but I'm not familiar with what it would look like to have templates/scopes/etc living on GitHub. Some questions/thoughts I have are: (1) scope statements/project documentation/notes will need to have saved copies in Box, as well; (2) GitHub may be an unfamiliar platform for project collaborators (i.e., economic team); (3) all of those points listed by @apulsipher are great! Something to consider as a kick-off template could be building from the project scope statement form, which encompasses the key highlights you mentioned.

@EDelaneyT, can you add this to the agenda for the next team meeting? (00-running-agenda, I believe)
